What prompted it
Doing the accounting for several LLCs, and wanting to share the setup with others.
What Grok Bot did
- Built a Grok Bot that does the full accounting for all the author’s LLCs.
- Had it write an 18-page PDF guide with every step and the exact prompts, so anyone can set it up from scratch.
- Asked it to make a video of itself showing how it thinks it works from a user’s point of view.
Evidence and limits
- Original post checked on X (Oct 17, 2026)
- Outcome reported by the author
- Not reproduced by anyone else yet
The video is the bot’s own recreation. In the author’s words: “Not a perfect copy of the real process.”
What the media shows
Illustrative demo the author's bot generated of how it works; the accounting app shown is a mock (app.ledgerlite.example), not a screen recording of real books.
- 0:00-0:09A statement PDF (Card_Statement_Sept.pdf) is dropped into a Google Drive folder named 'drop items here' under 'Maple St Properties'. The bot replies: "New statement in Maple St Properties drop box. Reading 17 transactions..." then books it to the sheet 'Expense Books 2026' and moves the file to Processed.
- 0:10-0:24In Google Sheets the bot reports "15 expenses booked, split by property and category" and puts 1 item with no property (Hardware Barn, $58.42) on a Review tab. The user answers in plain words: "That's lawn care for 114 Maple St." and the bot files it as Landscaping for that property.
- 0:25-0:30It flags a duplicate charge (Home Supply Co $212.18 on 09/02 and 09/03) and skips it, then reconciles: statement total $4,714.64 matches, balance $0.00.
- 0:31-0:52It drives a web accounting app, filling the New expense form field by field (vendor, amount, date, category, property, LLC), posts 16 of 16, and ends: "Done - all expenses posted: 16 booked, 1 skipped (duplicate), statement reconciled."
How to try it
- Make one Google Drive folder per LLC with a 'drop items here' subfolder and connect Google Drive and Google Sheets to Grok Bot.
- Ask the bot to watch those folders, read each new statement into an expense sheet split by property and category, and put anything it can't place on a Review tab for you to answer in plain words.
- Have it check for duplicates and reconcile against the statement total before it enters anything into your accounting software.
